Privacy Policy

What We Collect

Registration data: Full name, email address, telephone number, city, and province.

Activity data: Search queries, filters, map areas, listings viewed, favourites, notes, saved searches, and shares.

Technical data: IP address, user agent, timestamps, session identifiers.

Compliance data: Terms of Use acceptance records (version, timestamp, IP).

Why We Collect It

• To verify your eligibility to register and maintain our REALTOR®/consumer relationship;
• To operate, secure, and monitor our MLS® VOW (Virtual Office Website), including the compliance audit trail required by the real estate boards;
• To communicate with you about listings, saved searches, and your real estate goals;
• To comply with our obligations to the Greater Vancouver REALTORS® and Fraser Valley Real Estate Board;
• To comply with applicable law.

We do not sell your personal information. We do not share it with third-party marketers. We do not feed it to any AI system.

Who We Share It With

• Service providers: Supabase (hosting, ca-central-1 region, Canada), Resend (email), Repliers (MLS® data provider) — each under confidentiality and data-protection terms;
• The real estate boards (Greater Vancouver REALTORS®, Fraser Valley Real Estate Board, Chilliwack and District Real Estate Board, BC Northern Real Estate Board) — on request, as required by the VOW Database Access Agreement;
• Law enforcement or regulators, if legally required to disclose.

Where Your Information Is Stored

Primary storage is with Supabase in the ca-central-1 region (AWS Montreal, Canada). Supporting providers may process limited information outside Canada:

• Vercel — serves static assets from US edge locations; no personal information stored.
• Resend — processes recipient email addresses in the United States to deliver transactional email.

By using this site, you consent to your information being stored and processed by these providers for the purposes described above.

Third-Party Services

We use the following third-party services. Each is bound by its own privacy policy and (where applicable) a data-processing agreement with us.

• Supabase — primary database, authentication, and edge-function host. Data residency: ca-central-1 (Montreal, Canada). Stores all personal information described above. Privacy.
• Repliers — MLS® VOW data provider. Receives your MLS®-search-related queries (filters, geographic regions, listing IDs) so the upstream board feed can be queried; does not receive your name, email, or phone. Privacy.
• Resend — transactional email delivery (saved-search digests, favorite-status updates, shared collections, password resets). Processes recipient email addresses + the rendered email body to deliver mail. Servers in the United States. Privacy.
• Sentry — error monitoring on the frontend + edge functions. Captures stack traces, browser metadata, and the request path that triggered an error. We configure Sentry to scrub email + phone + form-input values before transmission; no MLS® data and no payment details are sent. Privacy.
• Plausible Analytics — cookie-less, privacy-respecting site analytics. Does not collect personal information; aggregates page views, referrers, and country-level location. Privacy.
• ipify — used once during Terms-of-Use acceptance to capture the requesting IP address, which is then stored on the consent record (audit-trail requirement under the GVR VOW Database Access Agreement). No other data is sent to ipify; we do not use ipify for tracking. About ipify.
• Google Maps — renders listing-location maps on property detail pages. Google receives standard browser metadata (IP, user agent) when the map loads, and processes that data under its own policies. We do not feed Google any personal information you've registered with us. Privacy.
• Vercel — serves the website's static assets from US edge locations. No personal information is stored at Vercel; server logs (IP, user agent, request path) are retained for short periods for security/operations purposes. Privacy.

We do not feed any of these providers to any AI system. We do not enrich your profile with third-party data.

Your Rights Under PIPA

You have the right to:

• Access the personal information we hold about you — visit /account/data to request a copy;
• Request correction of any inaccurate or incomplete information — we will act within five (5) business days;
• Withdraw your consent to our continued use of your personal information (this may mean we can no longer provide the VOW to you);
• Request deletion of your personal information at /account/data, subject to our record-keeping obligations to the real estate boards;
• Complain to our Privacy Officer, and if unsatisfied, to the Office of the Information and Privacy Commissioner for British Columbia.

Requests submitted through /account/data are handled manually under PIPA §27 within thirty (30) days. You'll receive a reference id at the moment you submit, and email confirmation when the request is fulfilled.

Data Retention

• Registrant profile (name, email, phone, city) — retained while your account is active. Accounts inactive for twelve (12) months (no sign-in during that window) are reviewed for retention; you may also request deletion at any time.
• Unsubscribe and deletion requests — honoured within a reasonable time. We aim to confirm receipt within two (2) business days and complete the action within thirty (30) days.
• Audit-trail records (searches, views, favourites, etc.) — retained for seven (7) years by default (BC Limitation Act).
• Terms-of-Use acceptance records (the vow_terms_acceptances table) — retained permanently as proof of consent under the GVR / FVREB VOW Database Access Agreement. These records are structurally immutable; not even the brokerage can alter or delete them.
• Personal information on account deletion — name, phone, and other directly identifying fields are removed within thirty (30) days of a confirmed deletion request. Records that the boards require us to retain (consent, basic identity-link audit) remain.

Data Security

We implement appropriate technical and organizational measures to protect your personal information, including encrypted storage, access controls, and audit logging. All MLS® data flows through a Supabase edge function proxy that enforces authentication, rate limiting, and field-level access control.
